

Since 1 September 2008, Heuvelman has been providing all audiovisual applications at trade shows, events, and conferences held in the Beatrix Building, exhibition halls and Mediaplaza and the partnership has recently been extended for the coming years.
As a trusted partner, Heuvelman ensures that every space is optimally equipped for meetings and events. From projection systems and screens to sound installations and digital signage for wayfinding, everything is designed to create the best possible experience for both visitors and organisers.
In addition to fixed audiovisual facilities, we also deliver the technical production for more than 400 events each year. From projection and screens to lighting, audio and digital signage, everything is aimed at a smooth visitor experience for both organisers and attendees. With attention to detail and a strong focus on reliability, we contribute to the success of every event; from small-scale conferences to large-scale trade shows.
The collaboration has been reaffirmed and will continue in the years ahead. Within this partnership, the focus is on continuity, a stable delivery organisation, and the opportunity to further develop innovative solutions together for the exhibition and conference venue.

“The audiovisual needs of Jaarbeurs have become increasingly complex in recent years. That is why we divided this tender into two lots: AV rental for our congress and meeting centre, and AV rental for the exhibition halls.
For the congress and meeting centre, we were looking for a strategic partner who thinks along with us in terms of customer approach, reliability, sustainability and quality. Heuvelman has long been a proven and trusted partner, supporting us exceptionally well in both AV technology and staffing. Our specific request for improved hybrid meeting solutions for smaller groups was taken seriously by Heuvelman, resulting in a practical and fast solution.
For the lot relating to the exhibition halls, the focus was on flexibility for our event managers on the one hand, and increased standardisation on the other. Together, we are working on modular building blocks that can be flexibly deployed across different theatre setups and group sizes.

At Jaarbeurs, we are the preferred in-house partner for AV support, including permanent digital signage installations and meeting room support. The collaboration covers both the exhibition halls (event productions) and Media Plaza (meeting rooms). In practice, this means support with both equipment and on-site staff, allowing fast switching during peak moments and during build-up and breakdown.
In addition, an on-site storage space is available to manage and store equipment efficiently.
Within the collaboration, there is scope to introduce innovations on-site and make them visible to Jaarbeurs customers and staff. A concrete example is the set-up of two areas for online meetings, including two Poly video conferencing solutions in a bar-style configuration with an integrated camera. This forms part of a broader approach: implementing innovations on location so Jaarbeurs can involve visitors, organisers and internal teams in new ways of AV-supported collaboration and communication.
Together with Jaarbeurs, a modern streaming studio has also been realised. From this studio, professional broadcasts are produced regularly, with room for interaction, hybrid events and dynamic content. This enables Jaarbeurs to respond to the growing demand for online and hybrid events without compromising on quality and experience.
Some time ago, the collaboration was further expanded with the renewal of the public address and voice evacuation system in the halls and Media Plaza. The objective is to enable a fast, clear and orderly evacuation in the event of fire or other incidents (per hall or per section of the complex), with continuous monitoring of system performance.

Sustainability plays an important role in the long-term collaboration between Jaarbeurs and Heuvelman. Jaarbeurs has the ambition to be energy-neutral by 2030 and strongly focuses on energy efficiency, reuse and responsible material choices. When selecting audiovisual systems, solutions are therefore deliberately chosen with a long lifespan, low energy consumption and minimal maintenance requirements. In this way, we contribute to a future-proof, sustainable operation of the venue.
Management, periodic inspections and maintenance are also part of the solution. Work is largely carried out in between exhibitions, which requires tight planning and close collaboration with all involved parties.
