Impact Trade Fair

Background

Impact Trade Fair is part of the Future-Proof Convention and is positioned as a trade fair with a substantive programme as well as a physical marketplace where supply and demand come together around future-proof B2B solutions.
In a set-up with multiple stages and sessions, a consistent AV foundation is essential: speakers must be clearly intelligible, content must remain visible, and sessions need to start on time, both in the main plenary setting and across parallel rooms.

Long-standing on-site collaboration

The production took place at Jaarbeurs Utrecht, where Heuvelman regularly provides audiovisual support as a partner. For Impact Trade Fair, this came together in a broad programme with multiple spaces and different audience moments, requiring tight alignment across build, coordination and execution.

Consultancy and approach

The approach focused on one workable line across the entire event: predictable session starts, clear support per room, and a practical workflow during changeovers.

• One consistent technical baseline for presentations and speech intelligibility across all spaces
• Scalable execution: a fully equipped main stage, with breakout rooms and the clubhouse aligned to the programme
• Tight on-site coordination (planning, build windows, routing and room usage)

On-site delivery

Main stage (Triodos Bank x Heuvelman)

For the main stage, complete audiovisual support was delivered: a set-up where audio, visuals and show elements come together into one plenary experience, aligned with presentations and the flow of the programme.

16 breakout rooms in greenhouse-style spaces

In addition to the main stage, support was delivered across 16 parallel spaces (greenhouse-style rooms), enabling sessions and programme elements outside the plenary stage to run professionally and consistently.

Impact Clubhouse

The Impact Clubhouse served as an additional programme element within the event. Here too, an AV set-up was implemented that matched the format and the way the space was used.

Result

With the main stage, the 16 breakout rooms and the Impact Clubhouse, Impact Trade Fair had a coherent AV foundation for a programme with multiple simultaneous sessions. Delivery focused on predictability during changeovers and a consistent experience per space, allowing speakers and sessions to run smoothly.
