For the Willem Kraanzaal at the Municipality of Amsterdam, Heuvelman delivered a modern and fully integrated audiovisual solution. The system supports the entire meeting process and aligns with the working methods of the Council Chamber, with a strong focus on ease of use, accessibility and a reliable technical infrastructure.

Background

As part of our collaboration with the Municipality of Amsterdam, there was a desire to also equip the Willem Kraanzaal with a modern audiovisual installation. The room is used for committee meetings and other gatherings and needed to align more closely with the working methods and technical capabilities of the Council Chamber.

Consistency played an important role in this project. There was therefore a need for a new discussion system, an extensive meeting management system and a reliable audiovisual infrastructure.

Challenge

The Willem Kraanzaal needed to be suitable for various types of meetings and gatherings. Everyone in the room must be clearly audible and visible, while relevant information needs to be available at the right time.

At the same time, the technology needed to be easy to operate. Users should be able to focus on the content of the meeting without having to manage multiple technical systems. Accessibility, information security and the reliable recording and broadcasting of meetings also play an important role.

Consultancy and approach

The solution was designed to closely align with the working methods used in the Council Chamber. Rather than focusing solely on the required equipment, we considered the entire meeting process and the different roles within the room.

All audiovisual components were brought together in one integrated environment. This allows the chairperson and council secretariat to prepare, manage and conclude meetings through a clear and intuitive user interface.

The existing facilities were also taken into account. The existing loudspeakers were retained and connected to new amplifiers and audio processors. A flexible infrastructure was selected for the distribution of video and audio, allowing the system to be easily adapted or expanded in the future.

Solution

The Willem Kraanzaal has been equipped with an integrated audiovisual solution that supports the entire meeting process. Participants sign in to the Televic discussion system using a personal badge, after which they are automatically linked to their meeting position.

Using MVI, the chairperson and council secretariat can manage speakers, microphones and voting, among other functions. The integration with Notubiz enables participants, agenda items and voting topics to be imported automatically, while meetings can also be broadcast online and searched afterwards.

Six Panasonic cameras automatically capture the active speaker. Philips displays show presentations and meeting information.

In addition, the room is equipped with wireless microphones, recording equipment and assistive listening technology for people with hearing impairments.

Result

The Willem Kraanzaal now features a user friendly audiovisual environment. Meetings can be easily prepared, managed, recorded and broadcast.

The chairperson and council secretariat maintain a clear overview of the entire meeting process, while participants remain clearly audible and visible and the audience has access to the relevant information.

Thanks to the flexible infrastructure, the room is also prepared for future expansions. As a result, the Municipality of Amsterdam now has two meeting rooms that operate according to a consistent working method.

The completed solution consists of several systems that work together to support the meeting process:
Televic discussion system with badge registration: participant identification and automatic linking to a meeting position.
MVI meeting management system: management of speakers, microphones, speaking times and voting.
Six Panasonic cameras: automatic speaker tracking and overview shots.
Philips displays: presentations, camera feeds and meeting information.
AMX and Elo touchscreens: central control of the audiovisual installation.
AV over IP infrastructure: flexible distribution of video and audio.
Integration with Notubiz: meeting information, online broadcasts and digital search functionality.
Auri assistive listening system with neck loops: improved intelligibility for people with hearing impairments.
Wireless Sennheiser microphones: flexible and secure use.
Epiphan Pearl recorder: reliable recording of video and audio.
Existing loudspeakers with new audio technology: the existing loudspeakers were reused and connected to new amplifiers and audio processors.
