Utrecht Introduction Time 2026

For Utrecht Introduction Time 2026, we worked closely with the student team on the technical production of Park Lepelenburg and Festival UCU. We not only provided the audiovisual technology, but also contributed to the setup, planning and execution from the preparation phase onwards. By explaining technical choices clearly and working closely together throughout the entire process, we were able to support the organisation and work together towards a professional and engaging introduction week for new students.

Background

The ambition for Utrecht Introduction Time 2026 was to create a professional and engaging introduction week for new students. Behind the event is an enthusiastic student team investing considerable time and energy in preparing and delivering the programme.

Our role therefore went beyond supplying audiovisual technology. The aim was to relieve the organisation of technical responsibilities and act as a technical partner throughout the process. This allowed the UIT team to focus as much as possible on the programme, organisation and students.

Challenge

For many students within the organising team, delivering an event of this scale is a new experience. Audiovisual technology and event production, on the other hand, are part of our day-to-day work.

The challenge was therefore not only technical delivery, but also communicating that knowledge in an accessible way. Rather than providing unnecessarily complex technical explanations, the focus was on clearly explaining what was required, why certain decisions were made and what these choices meant for the event itself.

Close cooperation throughout the project brought the student organisation and technical team increasingly closer together, creating a production process in which the event was genuinely prepared as one team.

Consultancy and approach

Ahead of the event, the requirements for the different elements of UIT 2026 were assessed together. Park Lepelenburg and Festival UCU formed the two main components of the production.

For Festival UCU, we advised using a mobile stage. This made it possible to create a professional festival setup efficiently within the available build-up and dismantling schedule.

A 3D visualisation of the festival setting was also created in advance. This gave the organisation a clear impression of the final setup at an early stage and provided a practical basis for discussing choices and coordinating the final layout together.

Throughout the preparation phase, there was frequent contact with the organising team. The production was developed step by step, after which our technical team handled the build-up, technical support and dismantling on site.

Solution

We provided the audiovisual technology for both Park Lepelenburg and Festival UCU.

At Park Lepelenburg, the focus was on the complete sound system and DJ technology. For Festival UCU, a complete festival setup was delivered, including the stage, professional audio, DJ technology and lighting.

Our technicians also provided technical support throughout the event. By coordinating the different technical disciplines through one team, communication remained straightforward and decisions could be made quickly during the production.

For the student organisation, this meant that the technical operation could remain in the background, leaving the team free to focus on the programme and participating students.

Result

The result was a successful production in which technology and organisation worked closely together. The strength of the project was not limited to the audiovisual equipment itself, but was particularly evident in the collaboration throughout the process.

The UIT team could rely on Heuvelman’s technical knowledge and support, while the technical team could coordinate quickly with the student organisation. Technology therefore became a supporting element of the event without demanding constant attention from the organisers during execution.

We did more than just deliver the technical production: together with the UIT organisation, the team contributed to events forming part of a memorable start to student life.
